Crescent Surveys is the data controller for the personal information described in this policy. Our company details are shown at the top of this page. You can contact us about anything in this policy by email at info@crescentsurveys.co.uk.

What we collect

When you book or enquire. Your name, email address, phone number, the address and postcode of the property, the details you give us about it (type, bedrooms, whether it is occupied, access instructions), your preferred date and time, whether you are a homeowner, landlord or agent, and anything you write in the notes.

When you pay a deposit. Payment is taken by Stripe. We receive confirmation that the payment succeeded, the last four digits of the card and the amount. We never see or store your full card number.

When we assess a property. Measurements, construction and heating details, and photographs of the building and its heating system. The photographs are required by our accreditation scheme for auditing. They do not deliberately include people or personal belongings and are not published.

When you use the website. Our hosting provider records standard server logs (IP address, browser, pages requested) to run the site and defend it against abuse. If you accept analytics cookies we also collect anonymised usage statistics through Google Analytics. See the cookie policy.

Why we collect it and our lawful basis

To provide the assessment and produce the certificate you have asked for: performance of a contract.
To lodge the certificate on the national register, which we are required to do by the Energy Performance of Buildings (England and Wales) Regulations 2012: legal obligation.
To keep records our accreditation scheme requires for quality auditing: legal obligation and legitimate interests.
To answer enquiries and manage bookings, including sending confirmation emails: contract and legitimate interests.
To keep accounting records: legal obligation.
To understand how the website is used, only if you accept analytics cookies: consent.

The national EPC register, operated for the Ministry of Housing, Communities and Local Government. The certificate, including the property address, is public on the register.
Our accreditation scheme, Sterling Accreditation, for lodging certificates and for audits.
Stripe, to process the deposit payment.
Resend, which sends our booking and enquiry emails on our behalf.
Cloudflare, which hosts the website and protects the forms from spam.
Google, only if you accept analytics cookies.
Professional advisers, insurers and authorities where the law requires it.

We do not sell personal information and we do not share it for marketing.

Where it is stored

Our email and booking records are held in the UK and the European Economic Area. Stripe, Resend, Cloudflare and Google may process data in the United States under the UK International Data Transfer Agreement or the UK extension to the EU-US Data Privacy Framework.

How long we keep it

Assessment records, including photographs, are kept for as long as our accreditation scheme requires for auditing, and in any case for the ten-year life of the certificate. Booking and payment records are kept for six years for accounting purposes. Enquiries that do not lead to a booking are deleted after twelve months.

Your rights

You can ask for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it where we no longer need it, object to or restrict processing, and withdraw consent for analytics cookies at any time by changing your cookie settings. Email info@crescentsurveys.co.uk and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
